Word add-in

The AutomaDoc add-in for Word is a template builder. You write the template in Word as usual, and the pane inserts the placeholders for you: no braces typed from memory, no hunting for the Alt Text dialog. It does not generate documents; you generate from the template’s data (the Excel add-in, a flow, the document API).

Your Microsoft 365 admin deploys AutomaDoc to your organization from the Microsoft 365 admin center, or you try it yourself in Word on the web: Deploy the add-ins for your organization has both, with the add-in’s manifest. Then click AutomaDoc on the Home tab. It runs in Word on Windows, on the Mac and on the web.

Sign in as in the Excel add-in: with your Microsoft 365 work or school account, or with Google. Personal Microsoft accounts cannot sign in.

The pane has four tabs: Template, Fields, Pictures and Check. The last three open once the document is linked to a template.

On the Template tab, under Choose a template:

  1. Pick one of your account’s templates. Each shows where its data comes from: Excel, SharePoint list, Dataverse, Google Sheets or API.
  2. Click Use this template.

The link is kept in the document, so a template you write over several sittings, or pass to a colleague, opens linked. Unlink this document removes it.

Templates of a Lark Base or a Lark approval are not listed: they are edited in Lark. A document linked to one, or to a template that was deleted, says so and offers to unlink.

An API template is filled with the data your own systems send to the document API or a Power Automate flow. To make one from the open document, enter a Name under New API template from this document and click Create and link.

Once linked:

  • Open the template’s file here puts the template’s current file into this document.
  • Start from fields makes a starter document with every field of the template, laid out for the template’s record mode (one per record, a list, a page per record, labels). Nothing is saved until you publish.

If the document already has content, the pane asks first: Replace the content, or Open as a new document (then link that document to keep working there). Files over 4 MB open only as a new document.

The Fields tab lists the template’s fields as a tree you can search. Put the cursor where a field should go and pick an action:

On Action What goes in
A field Insert {Customer}
A field Insert with a format A number, currency, percent or date format, UPPERCASE, lowercase or Capitalize Each Word, and what to print when it is empty (If empty, print)
A field Show only if… A condition around the selected paragraphs
A list Repeat for each Loop tags around a table row or the selected paragraphs
A list Insert a total or count A total, average, largest or smallest value of a column, the number of items, or all values on one line
A picture field Insert a placeholder picture A picture that the field’s picture replaces

The fields of a list’s items belong between that list’s loop tags; the pane reminds you when you pick one.

Repeat for each: in a table, put the cursor in the row to repeat; elsewhere, select the paragraphs. You can keep Only items where a column meets a condition, Sort the rows by a column (Ascending or Descending), and print At most this many rows (1 to 1,000).

Show only if…: select the paragraphs to show or hide first. The condition is one of has a value, is empty, is, is not, is more than, is at least, is less than, is at most. is and is not compare the text exactly as the field prints it; the others take a number, or a date written as 2026-01-31. Click Wrap the selection: a pair of tags goes around the paragraphs, each on a line of its own.

Everything is inserted as plain text, the same as typing it. The placeholder reference explains each tag.

An API template has no data source to read fields from. Its fields are the placeholders its file already uses, plus:

  • Insert a field by name: type a name; characters a placeholder cannot hold become underscores, and the pane shows the result.
  • Read fields from a JSON sample: paste the data one document API request sends for one document. Its keys become fields to insert, lists included. The sample is kept with the document unless it is too large.

Pictures, QR codes, barcodes, signatures and attachments

Section titled “Pictures, QR codes, barcodes, signatures and attachments”

The Pictures tab places what goes in through a picture’s Alt Text rather than as text. It also shows what the selected picture currently shows.

  • Picture, QR code or barcode: choose Picture, QR code or Barcode (Code 128, Code 39, EAN-13, EAN-8, UPC-A, UPC-E, ITF-14, Data Matrix, PDF417) and the Field, then Insert a placeholder picture, or Use it for the selected picture to turn a picture already in the document into one. The field’s picture or code is fitted to the size of the box: resize it to the size you want.
  • Signature box: a Role such as Customer, with Print the signer’s name and Print the date signed if you want them. When the document is sent for e-signature, the person with that role signs in the box; until then it prints empty. A template that makes one document from several records cannot be sent for signature.
  • Attached files: when the document is made as a PDF, the files in the chosen field (or Every file column) are added to it. Tick Put the files here, not after the document to place them where the tag is. See Attachments in the PDF.

Only pictures in line with text are filled. Check lists any placeholder picture that floats over the text; set its wrapping to In Line with Text in Word.

On the Check tab:

  • Check this document sends the document as it is now, unsaved changes included, and lists what would not generate. Nothing is saved. A clean result says how many fields, loops and pictures it found. The locate button next to a problem (Show in the document) finds it in the body, headers, footers or a picture’s Alt Text.
  • Publish saves this document as the template’s file. Documents made from then on use it. The file is checked again. A file with problems that stop it generating is not published (The template was not published. Fix the problems below first.); with smaller problems it is published, and the listed placeholders will not fill as intended until they are fixed.

Publishing a Word document over an Excel or PowerPoint template replaces it, and the template then makes Word documents: the pane asks first (Publish as a Word template).

Only the template’s owner or an account admin can publish. A document of up to 25 MB can be checked or published.
